Key Job Responsibilities
The Procurement Officer will be responsible for managing procurement activities and ensuring timely sourcing and supply of goods and services.
Procurement & Sourcing Duties
- Source goods, materials, and services based on operational requirements.
- Make commercial and technical procurement recommendations in consultation with end-users.
- Ensure procurement aligns with company policies, supply chain procedures, and operational objectives.
- Conduct supplier evaluations and negotiate favorable pricing, quality, and delivery schedules.
- Coordinate procurement of project-related materials and services.
Vendor & Supplier Management
- Build and maintain strong professional relationships with:
- Suppliers
- Vendors
- Freight forwarders
- Logistics providers
- Warehouse teams
- Internal departments
- Hold suppliers accountable for on-time delivery and discrepancy resolution.
- Manage the vendor registration process and ensure timely approvals.

Logistics & Inventory Coordination
- Expedite purchase orders to ensure timely supply and delivery.

- Support inventory optimization and stock control processes.
- Identify obsolete and redundant stock for disposal recommendations.

Warehouse & Safety Oversight
- Conduct warehouse housekeeping inspections and ensure compliance with workplace safety standards.
- Monitor stockyard conditions and ensure proper storage of materials.
- Promote a safe, clean, and organized work environment.
Contract & Tender Management
- Coordinate the full tender process, including:
- Reviewing project scopes
- Issuing requests for quotations (RFQs)
- Evaluating bids
- Drafting procurement reports
- Preparing contracts and agreements
- Support procurement compliance and documentation management.
Reporting & Stakeholder Coordination
- Coordinate feedback between procurement teams and internal stakeholders regarding purchase orders.
- Prepare monthly accrual reports for the finance department.
- Ensure timely closure of purchase orders and procurement records.
- Facilitate donation register management and delivery coordination.
Education Requirements
To qualify for this role, candidates should possess:
- Full Grade Twelve Certificate
- Bachelor’s Degree in Supply Chain Management, Procurement, Logistics, Business Administration, or related discipline
- Membership with the Zambia Institute of Purchasing and Supply (ZIPS) is required.
Experience Requirements
Applicants should have:
- Minimum 2 years of experience in procurement, sourcing, logistics, or supply chain roles.
- At least 1 year of procurement experience related to project works and services.
- Experience dealing with local and international suppliers, vendors, and freight forwarders.
- Knowledge of warehouse operations, inventory management, and remote site logistics.
- Experience in a busy or large-scale organization, preferably within mining, industrial, engineering, or manufacturing sectors.
